Estimating Team Assistant

Description:

Victory Woodworks is a highly entrepreneurial, customer-oriented, medium-sized manufacturing firm in search of a Estimating Team Assistant. We are looking for a highly detail-oriented, self-motivated individual, who loves a fast-paced, collaborative environment.


The Estimating Team Assistant will help the Estimating team to manage bids, manage distribution of plans and files, conduct data entry on proposals and bids, and follow up with Estimators. The Estimating Team Assistant will provide organized, consistent and effective support to the Estimating teams. The Estimating Team Assistant will collect, process, input, organize and file data and documentation from various sources to fulfill the standards and regulations governed by municipalities, state and federal jurisdictions and compliance and communication needs of the project. Additional responsibilities include:


  • Answer customer inquiries by phone and email
  • Process information within specific timeframes in order to maintain efficiency and timeliness of documentation, submissions, communication and reporting
  • Organize information into standard formats and reports in various systems
  • Performance of the required duties will require physical ability to sit for long periods of time at a desk, generally up to 7 hours per day and standing and walking
  • Typical schedule is 7 am to 4 pm. Some flexibility in schedule supported and also required (some overtime)
  • Ability to operate standard office equipment (personal computer, photocopy machine, fax machine)
  • Occasionally required to stoop, kneel and lift up to 25 pounds
  • The noise level in the office work environment is usually moderate
  • Other duties as assigned


Note this is not an Estimating position. This is an Administrative position which assists the Estimators with administrative work.

  • Must be professional, extremely detail-oriented, a quick learner, resourceful, and possess strong written and oral communication skills
  • Must have as strong ability to prioritize, multi-task and anticipate needs
  • Must be a self-starter and understand deadlines
  • Good organizational skills. Ability to coordinate multiple priorities, deadlines and projects
  • Strong customer service focus
  • Strong attention to detail and proof reading skills
  • Willingness to pitch in with what is needed
  • Must be team/detail oriented
  • Ability to meet time sensitive deadlines
  • Quick thinking and ability to adapt to a fast paced environment
  • Have ability to be given a task, independently research and report back with suggestions
  • Strong understanding of construction terminology a plus. Previous experience within construction, engineering, or architecture industries a plus
  • Highly fluent/strong knowledge of Microsoft office
  • Strong computer skills, fluent in Adobe Acrobat/PDF, Microsoft Excel and Microsoft Word. Familiarity with Project Scheduling and file management technologies. Able to learn new computer programs and systems
  • Quality written and oral communication skills (phone/email)
  • Capable of reading blueprints and specifications a plus
  • Knowledge of the bidding process a plus
  • A minimum of 2 years' experience in clerical or administrative support position
