About the Position
The priority for this position will be to ensure that client work orders are entered into the system accurately and in a timely manner and that all standards are followed by the staff to ensure client instructions are followed accurately. This position will also assist in the training of the WOE group.
Specific Responsibilities
- Processing and filing a variety of paperwork
- Maintains inventory and orders office supplies
- Maintains close liaison with supervisors and other lab staff to ensure the smooth delivery of our services to clients
- Responsible for proper and timely follow-up of client enquiries or requests
- Ensures that work-order write ups are checked and entered accurately and in a timely manner
- Prepares source data for computer entry by compiling and sorting information and establishing entry priorities
- Enters data and maintains entry requirements by following data program procedures. Reviews output to test for accuracy
- Follow up on "On Hold" work orders
- Assists with editing or creating CPT's as required
- Ensures that ALS Group analytical codes and procedures are being followed
- Maintains communication by referring client inquires to Supervisor or client service personnel
- Provides input on quality improvements to the department
- In consultation with Supervisor, may assist with investigating client enquiries and complaints related to quality issues and suggest proactive actions
- Identifies internal and external problems when they arise
- Communicates with Client Services/Marketing, Quality and V Branch
- Records and files WOE meeting minutes
- Attends WOE peer group meetings.
- Investigates WOE quality and safety incidents and contributes with innovative ideas to improve WOE department quality, safety, and productivity
- Responsible for training and monitoring performance of WOE staff
- Assists with WOE employee performance evaluations
- Assists in keeping WOE staff training records and controlled documents up-to-date
- Maintain a positive work environment through active team participation with a focus on quality customer service and maintaining client confidentiality
- Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality
- Observe established safety regulations and comply with all ALS health and safety policies and procedure
- Other duties as assigned by Manager.
Required Knowledge, Skills & Abilities - Thorough knowledge of WOE procedures and methods
- Pleasant and professional telephone manner
- Organized, highly motivated and customer focused individual
- Detail oriented individual with a strong commitment to quality and safety
- Ability to work independently and/or as part of a team
- Ability to effectively handle a high volume of work and time critical issues
- Strong interpersonal and leadership skills along with the ability to exercise diplomacy and tact
- Familiarity with Webview and StarLIMS
- Familiarity with ALS Group analytical codes and procedures
- Strong keyboarding skills with an emphasis on accuracy
- Excellent English communication skills both written and verbal
- Excellent computer skills including MS Word, Excel and Outlook.
Required Qualifications - Minimum 2 years work experience in a commercial minerals' laboratory or minerals sample preparation required
- Minimum 1 year experience working within a data entry capacity required
- Completion of an office administration certificate or diploma preferred
- Background in Chemistry and/or a related field would be an asset.
Physical Demands - Manual dexterity to perform intricate and/or repetitive tasks
- Wear issued personal protective equipment (PPE) such as dust masks, gloves etc., when required
- Ability to stand for a full shift
- Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities
- Please note that ALS operates 24/7 and will require day, afternoon, and graveyard shift work including weekends.
