Description:

Our client is searching for an Administrative Office Assistant that plays a key publicfacing role in supporting the daily operations of a busy front office. This position serves as the first point of contact for visitors and callers, creating a welcoming and efficient environment while providingexceptional customer service. The role requires strong organizational skills, comfort with multitasking, and the ability to maintain accuracy and professionalism in a fastpaced setting.

Working closely with the Legal Office Manager, this position assists with mail processing, document handling, meeting preparation, supply management, and general office support. While prior familiarity with legal terminology is helpful, it is not required-training will be provided. The ideal candidate is someone who enjoys helping the public, is comfortable with Microsoft Office applications, and takes pride in keeping the office running smoothly and efficiently.

Essential Duties

  • Serve as the primary frontoffice contact, greeting visitors and providing customer service both in person and over the phone.
  • Process incoming mail; sort, distribute, and route documents appropriately.
  • Perform data entry in Excel and produce basic documents in Microsoft Word.
  • Maintain office records, files, and correspondence with accuracy and confidentiality.
  • Assist with the preparation, formatting, and editing of written materials.
  • Monitor budgets and maintain accounts as directed.
  • Answer telephones, relay messages, and provide general information to the public.
  • Support meeting coordination, including scheduling, preparing materials, notifying staff, and taking minutes.
  • Order, stock, and manage inventory of office supplies and equipment.
  • Coordinate document shredding services and oversee printer supplies, service requests, and repairs.
  • Operate office equipment including copiers, computers, scanners, calculators, fax machines, and printers.
  • Review and process internal and external forms and documents.
  • Provide support for special projects using Microsoft Office applications.
  • Gain familiarity with basic legal terminology; occasionally file documents with local courts.
  • Perform other administrative duties as assigned to ensure efficient office operations.
Qualifications

Education & Experience
  • High School diploma or GED required.
  • Previous experience in an administrative, clerical, or frontoffice role preferred.
  • Experience with Microsoft Word and Excel (primarily data entry).
  • Prior exposure to legal terminology or legal office procedures is helpful but not required-training provided.
Knowledge & Skills
  • Strong customer service skills in person and over the phone.
  • Proficiency with standard office equipment and Microsoft Office applications.
  • Ability to maintain organized records, files, and documentation.
  • Skill in scheduling, meeting preparation, and minutetaking.
  • Effective written and verbal communication abilities.
  • Comfort handling confidential or sensitive information.
  • Ability to manage multiple tasks and prioritize in a busy environment.
  • Attention to detail and accuracy in data entry and document preparation.
  • Willingness to learn legal processes and terminology as needed.
  • Ability to work collaboratively and support the Legal Office Manager and broader team.
