Position Overview The Sr Service Administration Specialist, ES will support the Endoscopy business unit by administering all service-related functions for ES Capital Equipment, from installation to the equipment being sent inhouse for repairs. This role oversees processes including collection of installation documents, execution of Point of Purchase (POP) service contracts, and distribution and follow up of Time & Material (T&M) estimates for final authorization. We are guided and united by our Group Purpose of “giving our world more smiles.” Visit: Description Duties and Responsibilities:Manage Installation Documentation RequirementsReview and ensure accuracy of required installation documents for all new sales orders.Collaborate with all necessary stakeholders to obtain final approval of completeness.Maintain Sales Force (SF) order records for Inservice documents, SWOs and signed SWOs.Oversee RMA Administration ProcessObtain and distribute Time & Material estimates to customers.Handle all follow up communication with customers for authorization.Provide direction for parts specialists to proceed with RMA process to ensure appropriate billing type.Develop and Administer Contract ProposalsWork closely with internal and external stakeholders as needed to generate renewal contract quotations.Maintain quotation database.Track the lifecycle of every proposal beginning from quotation generation to order entry after securing a purchase order from a customer.Sales Operations SupportCreate a monthly report that will serve as a tracking tool for service contracts and accounts to maximize company revenue and profit.Work closely with sales teams and key contacts to effectively communicate service contract opportunities and communicate any follow up necessary to move forward with service contract business.Work closely with Regional Managers and Service Managers to understand the P&L state of Service Business to effectively communicate to the team and assist in achieving team goals related to Service Contracts.Create monthly noncontract customer and expiration reports in SAP and distribute to sales teams to provide visibility of potentially missed revenue opportunities.Other DutiesLead and train service administration team members as necessary.Identify opportunities to improve existing processes to optimize performance and internal and external customer support with business consultation and approval.Collaborate with ES Operations Leadership on process improvement initiatives and serve as subject matter expert on special projects.Comply with all applicable U.S. Food and Drug Administration (U.S. FDA) medical device regulatory requirements, applicable ISO 13485 standard requirements and all other applicable laws, regulations, and standards.Other duties as required and requested by Top Management or Manager.Qualifications:Bachelor's Degree or in Business, Supply Chain, or related field with 2 to 4 years' experience or Associate's Degree in Business, Supply Chain, or related field with 4 to 6 years' experience preferred.Minimum of 2-4 years of experience in contracts administration and quotes generation, preferably in a healthcare related field.Requires strong organizational and problem-solving skills.Ability to work independently and as part of a team.Strong attention to detail and accuracy.Experience with project management.Ability to handle multiple tasks and prioritize effectively.Strong skillset in Microsoft Office products (Excel, Word, Access, PowerPoint, etc.).Must be proficient in Business Operations Systems (SAP, Salesforce).Excellent verbal and written communication skills. Presentation skills are a plus.Must be able to lead through influence, enacting change and process improvement ability to work independently.Self-directed with high energy and motivation.
