Overview We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and computer literacy will ensure smooth office management and efficient communication across departments. This paid position offers an exciting opportunity to contribute to a meaningful cause while developing your administrative expertise. Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression Manage multi-line phone systems with professionalism, practicing excellent phone etiquette Handle incoming calls, screen inquiries, and route messages accurately using office management software Maintain organized filing systems, perform data entry, and ensure accurate recordkeeping Assist with calendar management and scheduling appointments for staff members or clients Support clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies Utilize Microsoft Office Suite and Google Workspace tools for daily administrative functions Provide customer support by addressing inquiries promptly and courteously Perform general office duties including filing, photocopying, and maintaining a clean reception area Qualifications Proven experience in office management or administrative support roles with strong organizational skills Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) Prior experience with multi-line phone systems and phone etiquette is highly desirable Bilingual abilities are a plus to effectively serve diverse populations Strong clerical skills such as data entry, proofreading, filing, and time management Previous experience in healthcare or medical reception (e.g., dental or medical receptionist) is advantageous Personal assistant or office experience demonstrating professionalism and reliability Ability to handle fast-paced environments with excellent organizational skills and attention to detail Join us at Vitality Unlimited to make a difference in our community!
