Truckee Meadows Fire Protection District is seeking a detail-oriented and dependable Account Clerk to join our financial team. This position performs technical accounting and administrative work supporting accounts payable, accounts receivable, billing, purchasing, financial recordkeeping, reconciliations, and other fiscal operations. Behind every emergency response organization is a financial operation that keeps purchasing moving, vendors paid, accounts balanced, records accurate, and resources available when they are needed.

As an Account Clerk with TMFPD, you will work across a variety of financial functions rather than being limited to a single accounting task. From accounts payable and purchasing to reconciliations, billing, ProCard administration, Fleet records, and fiscal reporting, this position is an important part of the District's day-to-day financial operations.
What You'll Do

  • Maintain and reconcile ledgers, reports, accounts, and other financial records; research discrepancies and prepare journal entries to correct accounting records.
  • Perform accounting system processes associated with month-end, fiscal year-end, and calendar year-end.
  • Perform accounts payable functions including reviewing, coding, auditing, matching, and processing invoices and payment requests.
  • Verify authorization, supporting documentation, mathematical accuracy, account coding, receipt of goods or services, and compliance with purchasing requirements.
  • Research and resolve invoice, purchase order, vendor, credit, and payment discrepancies and respond to payment-status inquiries.
  • Manage the District's ProCard program, including reviewing supporting documentation, coding transactions, entering transactions in SAP, resolving issues, and documenting the business purpose of purchases.
  • Perform assigned billing and accounts receivable functions, which may include medical or insurance-related billing, payment posting, reconciliation, research, and resolution of billing discrepancies.
  • Monitor and balance assigned accounts, verify expenditure coding and availability of funds, reconcile financial information, and assist with budget preparation.
  • Perform purchasing and vendor administration, including vendor setup, purchase orders, required documentation, and coordination with vendors, District staff, and County purchasing personnel.
  • Maintain apparatus and vehicle records for Fleet, including fuel cards, titles, and registrations.
  • Prepare and analyze routine fiscal reports, statements, schedules, and supporting documentation.
  • Reconcile travel per diem expenses and prepare and track documentation for employee tuition reimbursement.
  • Process cash desks, record and reconcile receipts, post transactions to designated accounts, and prepare deposits.
Experience & Training Requirements
Two years of full-time experience maintaining financial records and accounts OR an equivalent combination of related training and experience.
Desired Qualifications
The following experience is preferred but is not required:
  • Previous accounting or financial experience in a government or other public-sector environment.
  • Previous billing experience, including medical, insurance, healthcare-related, or similar billing and accounts receivable functions.

This position works in a standard office environment and involves prolonged periods at a workstation performing computer-based accounting and administrative work.

The Account Clerk frequently uses a computer, keyboard, mouse, 10-key by touch, telephone, and other standard office equipment. The position also occasionally requires standing, walking, bending, reaching, and moving or carrying files, supplies, or other office materials.

Benefits Overview

Truckee Meadows Fire Protection District (TMFPD)
Merit Increases

Full-time employees, with a salary range rather than steps, may receive an annual 5% merit increase until the position classification's maximum salary is reached.

Eligibility: Employees rated satisfactory or above after one (1) year of continuous service.
Holidays

New Year's Day; Martin Luther King Jr. Day; President's Day; Memorial Day; Juneteenth; Independence Day; Labor Day; Nevada Day; Veterans Day; Thanksgiving; Family Day (day after Thanksgiving); Christmas Day.

Eligibility: Immediate upon employment with Truckee Meadows Fire Protection District (TMFPD).
Holiday Pay

Employees shall be paid eight (8) hours at their premium hourly rate if they regularly work an eight (8) hour shift, or ten (10) hours at their premium hourly rate if they work a ten (10) hour shift, for each District holiday.

Any other day declared by the President of the United States to be a legal holiday or added to NRS 236.015 shall also be a legal holiday.

Eligibility: Immediate upon employment with TMFPD. Employee must be in a paid status the scheduled work day before the holiday and the scheduled work day after the holiday.
Employee Assistance Program

All employees are eligible for the District EAP.

Personal Leave

Personal leave will be issued as follows:
  • Use 0 to 32 hours of sick leave as of the end of the twenty-sixth (26th) pay period, or in the event of a 27th pay period in a calendar year, and receive 16 hours of Personal Leave credit.
  • Use 33 to 40 hours of sick leave as of the end of the twenty-sixth (26th) pay period, or in the event of a 27th payroll period in a calendar year, and receive eight (8) or ten (10) hours, based on the employee's normal work shift, of Personal Leave credit.
  • Credited at the end of the first full pay period the following January.
Eligibility: Immediate upon one year of service.
Vacation

Vacation hours are earned on a graduated basis:
  • Less than 3 years: 102 hours
  • 3 but less than 5 years: 139 hours
  • 5 but less than 10 years: 167 hours
  • 10 years: 213 hours
Vacation may be accumulated from year to year, not to exceed 240 hours as of the last full pay period encompassing December 31. If an eligible employee has accumulated more than 240 hours at that time, the District shall pay out 100% of the excess vacation leave at the employee's hourly base rate.

Eligibility: Paid vacation begins the first day of the pay period following completion of 12 months of continuous TMFPD service.
Sick Leave

Sick leave benefits accrue at the rate of five (5) hours per bi-weekly pay period and are cumulative from year to year.

Employees retiring with ten (10) years of District seniority and a minimum of twenty (20) years of total service with Nevada Public Employees Retirement System (NV PERS) will receive payout at the following percentages of base rate based on accumulated sick leave balance:
  • 20 years: 75%
  • 21 years: 80%
  • 22 years: 85%
  • 23 years: 90%
  • 24 years: 95%
  • 25+ years: 100%

In the event of a line-of-duty death, the District will convert the employee's sick leave at a conversion rate of one hundred percent (100%) of the employee's premium rate.

As long as an employee is in a paid status, they shall earn sick and vacation leave while on such leave. If the employee is on leave without pay, they shall not earn sick or vacation leave while on such leave.

Eligibility: Paid sick leave begins as leave is accrued from the first day of employment.
Longevity Pay

Paid at the rate of one-half percent (1/2%) of the base hourly rate for each year of continuous service with the District, up to a maximum payment not to exceed seventeen thousand dollars ($17,000).

An employee's eligibility for longevity pay shall be reviewed as of June 1 and December 1 of each year, with payment made in equal semiannual installments on the first payday of June and December immediately following a determination of eligibility. For qualified employees retiring or resigning before the due date of any semiannual payment, the amount shall be prorated.

Eligibility: Employee shall be entitled to annual longevity pay after completing five (5) years or more of full-time service with the District.
Retirement

The District shall continue to pay 100 percent (100%) of the cost of the retirement contribution for the State of Nevada Public Employees' Retirement System, in accordance with NRS Chapter 286, of up to a three percent (3%) increase for Police/Fire NV PERS and a two percent (2%) increase for Regular NV PERS.

The District will pay the employee portion of an NV PERS contribution rate increase of up to a three percent (3%) increase for Police/Fire NV PERS and two percent (2%) for Regular NV PERS in lieu of a raise during the term of the agreement.

If the Nevada Public Employees' Retirement System rate increases above three percent (3%) for Police/Fire NV PERS or above two percent (2%) for Regular NV PERS, the District and the employee will split equally the remaining increase above those amounts.

Eligibility: Immediate upon employment with TMFPD.
Insurance

100% of the premium is contributed for each employee. Coverage includes life, medical, dental, and vision, plus payment of 50% of dependent coverage costs.

Eligibility: Coverage becomes effective on the 31st day of employment. The enrollment form must be completed and submitted prior to the effective date.
Retiree Health Insurance

Employees hired on or before June 30, 2044, retiring with a total of twenty (20) years of consecutive District service on or after July 1, 2024, will receive one hundred percent (100%) of the premium for employee-only health insurance.

Employees hired on or before July 1, 2014, will be eligible for 100% retiree-only health insurance with less than twenty years of service with the District.

Under these plans, Medicare will be the primary insurer once the covered employee becomes Medicare-eligible.

Eligibility: Employees who retire under NV PERS, with a minimum of ten (10) years of service with the District.
Bilingual Pay

Employees identified and utilized by the District to provide bilingual language skills in any language other than English, where the language has been identified as a need in a District service or program area and is not a minimum qualification for the employee's job classification, may, upon approval of the Fire Chief or designee, be tested for certification during the employee's regular work schedule by an approved testing provider at the District's expense.

The District will pay for two opportunities for an employee to become certified; all other attempts will be on the employee's own time and expense.

The certification exam will test the employee's language competency in listening, speaking, reading, writing, and overall comprehension. The examination process will meet all applicable state statutes. Upon proof of certification, the employee shall receive an additional two percent (2%) of the base hourly rate as bilingual differential pay.

Eligibility: Immediate upon employment with TMFPD. This differential pay becomes effective in the first full pay period after the employee's qualification for bilingual pay.
